Job Purpose

Provide administrative services and support to the full range of Utilities activities undertaken by the Utilities team.
This position is office based and works on a normal 40 hours a week. Busy periods may require extra hours to ensure deadlines are met.


Duties and responsibilities

  • Book Utilities meetings for all sectors when required UMC
  • Attend Utility meetings take internal minutes for the meetings to provide actionable items for resolution. Compare these minutes with those provided by the utilities service providers to ensure information has been captured correctly.
  • Ensure that SERVICE PROVIDER circulates the updated minutes in time to the relevant SBU’s (within 3 days of meeting)
  • When audits are done Audit Reports to be saved on the idrive under correct folder for specific sectors
  • Assist with related ad-hoc requirements as required by the manager
  • Facilitate the Report & escalation email putting in correct folder
  • Attending to escalated tenant queries relating to utility charges and forwarding to relevant parties ie service provider, data analyst ( Property Specialist)
  • Arranging meetings with service providers.
  • Assist data analyst with all tenant query & building related issues that may result in further Investigations electricity and water queries.
  • Assist UMC to Liaise with meter reading companies; ensuring all monthly management reports are received timeously.
  • Assist Data analyst determine key priorities for the utilities specialist focused on data with regards to
delivering on the range of data sourcing, analytics, and reporting requirements for the
business.
  • Assist with updating of data sets for the purposes of energy, water and waste
  • Assist with tenant mail fiber allocation and creating PO’s and invoicing on Fibre
  • Assist with Public Wi-Fi services.
  • Assist and attend monthly pre planning meetings.
  • Insure availability of back-up personnel for the maintenance of the utility delivery system.

Experience

2 to 3 years related experience working in an environment with municipalities.

  • Must have a valid driver’s license and own vehicle.
Qualifications

  • A relevant National Diploma or equivalent.
  • A Bachelor’s degree qualification would be advantageous.
  • Project Management.
